Before you get started, it’s worth taking a quick look at the difference between the WhatsApp app and Business Suite – here we explain which option is right for you.
This is the quickest and easiest way. No computer needed, no technical knowledge required – everything is done via your smartphone.
Prerequisite: An active phone number in the WhatsApp Business app.
Open the WhatsApp Business app and tap ‘Tools’ at the bottom. You’ll see the ‘Meta Business Agent’ option there. Tap on it. The system will prompt you to authenticate, usually via facial recognition. You’ll then be asked to link your Meta account, if you haven’t already done so.
In the next step, you decide which data sources the agent is allowed to use. You can share past chats so that the agent can learn straight away from real customer conversations. This is recommended because it enables the agent to provide relevant responses right from the start, rather than starting completely from scratch. After that, link your website and your product catalogue.
Before you activate the agent, use the built-in test mode. Message the agent yourself as if you were a customer, ask typical questions and critically assess the responses. Once you’re satisfied with the quality, activate it with a single click.

Go to business.facebook.com and log in with your Meta account. Click on ‘All Tools’ in the navigation bar on the left and search for ‘Meta Business Agent’. The setup wizard will guide you through all the steps.
The Agent automatically learns from your Facebook Page, past chats and your website. You also have the option to upload documents and provide more detailed instructions. The key advantage of this option is centralised management across all channels in a single interface. However, there are a few settings that you need to configure once during the initial setup and which are almost impossible to find later on. Anyone who overlooks these often wonders why the agent isn’t performing as expected.
For businesses wishing to integrate the agent deeply into their existing system landscape, there is the API onboarding option. This option requires technical expertise and is intended for teams that are already working with the WhatsApp Business API or have a developer on their team.
Prerequisites: Meta Developer Account, Meta Business Portfolio, Developer App, registered WhatsApp Business account.
The process begins by creating a system user in the Meta Business Suite, to whom you assign the necessary permissions on the Developer App and the WhatsApp Business account. You then generate an access token with permissions for WhatsApp Business Management and WhatsApp Business Messaging. Using this token, you send a POST request to the Agent Onboarding API, thereby initiating the agent creation process. The Knowledge Base is then populated programmatically, and all configurations, guardrails and integrations are managed via the API.
The Knowledge Base is at the heart of your agent and the part that most people underestimate. An agent with a weak Knowledge Base gives inaccurate, generic answers. An agent with a strong Knowledge Base sounds like a well-trained member of staff.
